Check whether the problem is specific to Excel
Try a short phrase in a blank Notepad document on Windows or TextEdit document on Mac. Then try it in a blank, editable Excel cell with a visible text cursor. If it works in the text editor but not in Excel, follow the cell checks below. If neither works, go to the Windows or Mac section.

Dictation works elsewhere, but no text appears in Excel
- 1Check that you can type. In a blank test cell, enter a short word with the keyboard. If that fails too, check whether the workbook is read-only or the cell is protected. Use an editable test workbook rather than removing protection from a working sheet.
- 2Look for a blinking text cursor. A selection border alone does not mean Excel is ready for dictation. Double-click the blank cell, or click in the formula bar, before starting speech input.
- 3Try the formula bar. If speech does not enter the cell directly, stop dictation, click inside the formula bar's input area, and start again. Keep focus there while speaking.
- 4Finish one entry before moving on. Stop dictation, review the words, and press Enter to finish the entry. Select the next cell before starting again.
If a new blank workbook works but the original does not, check the original workbook's editing restrictions. If no Excel workbook accepts dictation but your text editor does, save your work and restart Excel before retrying.
Windows 11
Windows voice typing is not working in Excel
- 1Start in an editable text field. Press Windows key + H and wait for the listening indicator. Voice Typing requires an internet connection.
- 2Select the microphone you are using. Go to Settings → System → Sound → Input. Check the selected device, its input level, and any headset mute switch or connection.
- 3Check microphone access. If Windows reports an access problem, open Settings → Privacy & security → Microphone and enable Microphone access. If the control is managed by your organization, ask IT.
- 4Check the input language. Press Windows key + Spacebar to select the language you are speaking. If Voice Typing says it is unavailable, check Microsoft's supported-language list.

macOS
Dictation in Excel on Mac is not working
- 1Check Dictation settings. Open System Settings → Keyboard → Dictation. Turn it on and note the selected language and keyboard shortcut.
- 2Check audio input. In System Settings → Sound → Input, select the microphone you are using and check whether its input level responds when you speak. If you use an external microphone, make sure it is connected and not muted.
- 3Check whether Voice Control is on. In System Settings → Accessibility → Voice Control, check which tool you are using. While Voice Control is active, its dictation replaces standard Dictation. Use Voice Control's text-entry features, or turn it off if you intend to use standard Dictation.
- 4Retry in TextEdit, then Excel. Click in a blank document and use the shortcut shown in Keyboard settings. If it works, repeat in Excel's formula bar. Check Keyboard settings for whether your Dictation setup requires internet access.

Speech appears, but the words or numbers are wrong
Compare the same short phrase in your text editor and Excel. If both transcribe it incorrectly, check the speech language, reduce background noise, and try shorter phrases. If the value changes when you press Enter in Excel, check the cell format and how Excel is interpreting the entry.
Decimals and negative values
Before finishing a measurement entry, check its sign and decimal separator. Excel may interpret the same number differently depending on your regional settings.
IDs and leading zeros
For an ID such as 00127, format the blank cell as Text before entering it to preserve the leading zeros. You still need to check that dictation captured the ID correctly.
Extra punctuation
If dictation adds unwanted punctuation, check whether your speech tool has an automatic-punctuation setting. Watch for extra full stops or commas in short values and IDs.
For example, if you say “minus twelve point five”, check that Excel records −12.5. Keep measurement columns numeric if you use them in calculations; changing them to Text may make an entry look right without resolving the underlying problem.

Why does “next cell” get typed instead of moving?
If Excel types “next cell” into the worksheet, your speech tool is treating it as text. Moving between cells requires a supported voice command. On Windows, Voice Access provides these controls; Voice Typing is for entering text. On Mac, Voice Control provides navigation as well as dictation.
For navigation commands, see Microsoft's Voice Access command list or Apple's Voice Control guide. The wording depends on the tool you use. Check its command list and make sure it is listening for commands, rather than only dictation.
You may want to go further and say “sample B-204, measurement 17.8, status needs review”. That requires identifying the sample and entering values in two separate fields. Save your work, restart the affected app, and check for available Office and operating-system updates. If the problem continues, give your IT team or support provider these details:
- Your Windows or macOS version and Excel version.
- The speech tool you started and the exact error message.
- Whether speech works in Notepad or TextEdit.
- Whether keyboard entry and dictation work in a new blank workbook.
These details will help support narrow down the cause and avoid asking you to repeat checks you have already tried.
Excel dictation troubleshooting questions
Does Excel have a Dictate function like Word?
The Dictate button you see in Word may not be available in your version of Excel. To enter text by voice, use Windows key + H on Windows, or Dictation in Keyboard settings on Mac. First place a text cursor in the cell or formula bar.
Why is Windows + H listening but not typing in Excel?
Check that the cell is in edit mode, rather than just selected. Try the formula bar and compare with a blank Notepad document. If neither accepts speech, work through the Windows microphone, connection, and language checks above.
How do I use dictation in Excel on a Mac?
Enable Dictation in System Settings → Keyboard and check its shortcut. In Excel, click inside an editable cell or the formula bar, then use that shortcut. If Voice Control is on, use its dictation feature instead; standard macOS Dictation is unavailable while Voice Control is active.
Why does Excel put everything I say into one cell?
Dictation types into the cell you are editing, even if you mention several rows or columns. Stop dictation, finish the entry, and select the next cell before continuing. You can also use a voice-control tool with supported navigation commands.
Is Speak Cells the same as speech to text?
No. Speak Cells reads existing Excel content aloud. It does not turn your speech into cell entries, so enabling it will not fix voice typing.
